Responsibilities of Committee Menbers

To potential Committee Members of a Body Corporate

At each Annual General Meeting of a Body Corporate there is always an Agenda item the Election of the Committee which must consist of at least three members.

Standing for committee should be considered very carefully since it is the committee that determines the day to day requirements for maintaining the common property. All owners are invited to stand for nomination but should understand what is required of a committee member.

What then should a member of committee expect?
• They should hold regular meetings.
• They should keep accurate records of each meeting.
• They should be available to attend all meetings.
• Not volunteer unless they are committed.
• They should be prepared to look to the future rather than the past. It is easy to criticise past committee members for what hasn’t been attended to. Remember next year you may be a past committee member.
• Be prepared at times to supervise work being attended to.
• They should keep all members informed by either distribution copies of all minutes or through circulars.
• Give all members the opportunity to present their views.
• Appoint sub-committees as required.
• Set up guidelines for the sub committees and even the management company.
• They should be prepared to offer their assistance, offer their opinions and vote according to what is best for the building rather than what is in their personal best interest.
• Remember they are a legal entity, able to sue and be sued.
• They hold a position of responsibility to all members of the Body Corporate.
• Show an interest in the common property.
• Report their activities to the Annual General Meeting.
• Communicate with the managing agent, where possible by email or in writing, giving clear directions so there are no grey areas.
